The Setup tab in the Harvest Admin Console provides a visual step-by-step checklist for configuring Harvest by Ascendix. Each step displays a progress ring showing completion status, so you can see at a glance what has been configured and what still needs attention.
Admin Responsibilities:
- Create and activate the Email Service
- Assign permission sets to users
- Configure the AI Model
- Enable and configure objects for parsing
- Review and activate duplicate rules
Accessing the Setup Tab
- Open the App Launcher and search for Harvest by Ascendix.
- Navigate to the Harvest Admin Console.
- Click the Setup tab.
The Setup tab displays 5 configuration steps. Each step shows:
- A progress ring indicating completion percentage
- Status text (e.g., "1 of 2 complete", "3 objects activated")
- A guide link pointing to detailed documentation
The first incomplete step is highlighted so you can focus on the next required action. Use the Refresh button in the card header to update the status after making changes.

Step 1: Email and User Setup
This step has two substeps. The progress ring shows "X of 2 complete".
1a. Create and Activate the Email Service
- Go to Setup > Email Services.
- Create a new Email Service using the EmailParserHandler Apex class.
- Activate the Email Service.

1b. Configure Context Users
- Under the Email Service, create dedicated email addresses for users who will forward emails for parsing.
- Assign a context user to each email address.
Note: Each user who forwards emails needs a dedicated email address configured under the Email Service.

Step 2: Permission Set
Assign the appropriate permission set to each user who will use Harvest.
- Go to Setup > Permission Sets.
- Select Ascendix Harvest User (for end users) or Ascendix Harvest Admin (for administrators).
- Click Manage Assignments > Add Assignments.
- Select the users and click Assign.
The step shows as complete when all context users configured in Step 1 have a permission set assigned.

Step 3: Configure AI Model
- In the Harvest Admin Console, open the Org Settings tab.
- In the Model dropdown, choose the model to use for parsing or click Set Recommended in the upper right corner to apply the default configuration (GPT 5.2).
- Click Test Connection to verify your key is valid to verify that the Agentforce service is reachable. If the test fails, confirm that:
- Agentforce is enabled in your org (Setup > Agentforce)
- Your Salesforce org has an active Einstein / Agentforce license - Enable the tool using the Enable email parsing toggle.
- Save the configuration.

Step 4: Configure Objects
- In the Admin Console, open the Objects tab.
- If your org uses AscendixRE, click Set xRE Settings to automatically apply the recommended object and field configuration for xRE.

3. To add objects manually, click Add Object.
4. For each object:
- Provide a clear Object Description explaining how it will be used.
- Select and enable the fields the parser can populate from emails.
- Set the object to Active using the toggle on the object card.

Note: AscendixRE objects (e.g., Properties, Availabilities) come with a predefined description that is applied automatically when the object is added. Review the predefined text and adjust it only if your org uses these objects in a non-standard way.
Warning: Enabling too many fields and objects may affect the accuracy of results. We suggest enabling up to 7 objects with up to 10 fields for each.
The step status shows the number of activated objects (e.g., "3 objects activated").
Step 5: Review Duplicate Rules
- Go to Setup > Duplicate Rules in Salesforce.
- Configure and activate duplicate rules for each object used in email parsing.
- Ensure the matching rules are valid and correspond to your data management practices.
Autogenerate xRE Duplicate Rules
If the AscendixRE package is active in your org, the Setup tab displays an Autogenerate xRE Duplicate rules button.

- Click Autogenerate xRE Duplicate rules.
- The system queues the creation of a base xRE duplicate rules set covering Account, Availability, Contact, Lease, Deal, Inquiry, Listing, Preference, Property, and Sales (see the Configuring Duplicate Rules guide for the full matching criteria).
- A confirmation message appears: "Duplicate rules creation has been queued. Activate them manually in Setup once ready."
Note: Auto-generated rules are created in inactive state. You must manually activate each rule in Setup > Duplicate Rules after reviewing the configuration.
Note: Re-running the button only creates rules that are missing — existing activated rules are not altered. The button is hidden if at least one auto-triggered duplicate rule has been removed from the org.
The step status shows the number of activated duplicate rules.
