Configuring the objects for parsing with Harvest by Ascendix

    Harvest by Ascendix allows users within your org to convert incoming emails into Salesforce records. As an admin, you can configure which objects the tool can create or update, and which fields on those objects will be populated using email content.

    The tool supports:

    • Sales Cloud standard objects (e.g., Account, Contact, Lead, Opportunity, Case, etc.)
    • Service Cloud standard objects (e.g., Case, Contract, Asset, etc.)
    • xRE objects (e.g. Properties, Availabilities)
    • Custom objects (any objects you've created in your org)

    For each enabled object, you must:

    1. Enable the object for email parsing.
    2. Provide an object description explaining how it will be used.
    3. Select and enable fields that the parser can populate from emails.

    Accessing Object Configuration
    note: before you configure the objects for parsing, make sure Org Settings under a corresponding tab have been enabled.

    1. Open the Harvest Admin Console.
    2. Navigate to the Objects tab.
    3. The Objects tab will display a list of configured objects with their status and field coverage.

    note: Objects added to the console are inactive by default. You must manually activate each object after configuration. Enable only the objects your team actively uses — enabling too many objects degrades parsing accuracy.

    From this page you can:

    1. Add new objects to be parsed.
    2. Activate/Deactivate existing objects.
    3. Edit object configuration, including description and fields.

    Adding a New Object

    1. On the Objects tab, click Add Object.
    2. An Add Object pop-up opens, showing a searchable list of available objects.
    3. Use the search box to find the needed object for parsing.
    4. Click Add next to each object you want to enable for email parsing. After adding an object, it appears in the main list and can be further configured.

    Added objects on the left will show:

    • Object Name (e.g., Account, Property)
    • Status: Active / Inactive
    • API names of the chosen objects shown when hovering over a corresponding card.

    Configuring an Object

    To fully configure an object:

    1. Once the object has been added, once clicked on, you will see admin console showing the following information
    • Status
    • Object Description
    • Object Fields list

    note: Object Setup button will allow you to conveniently navigate to object Set up page to make the needed changes to fields structure.

    1. Provide Object Description
    For every object you enable, you must provide a clear Object Description. You can do that in corresponding Object Description field. Changes to the description are auto-saved as you type — no explicit save action is required.

    note: AscendixRE objects (e.g., Properties, Availabilities) come with a predefined description that is applied automatically when the object is added. Review the predefined text and adjust it only if your org uses these objects in a non-standard way.

    note: if you enable the object without provided description, the accuracy of results will be hindered as the tool may not be able to grasp the right context for your business cases.

    Description creation guidelines:
    Clearly describe:

    • what this object represents (e.g., "Account represents a company or client business record.").
    • optionally specify typical use cases (e.g., "Used when parsing emails from new prospects to create accounts.").

    Avoid mentioning specific fields or values, and avoid technical or implementation details—focus only on a short, clear, business-friendly explanation of what the object represents.
     

    2. Select and Enable Fields (Required)
    In the Object Fields section, configure which fields can be populated from emails.

    note: if the fields have not been enabled for a specific object, data from emails will not be parsed to it even when the object is enabled.

          Steps:

    1. Use Search fields field to quickly find fields by name.
    2. Upon hovering over the field you will be able to see API name if this field.
    3. Use Select All if you want to enable all fields for parsing.
    4. Use Reset to clear current selections and start over.
    5. For each field you want the Harvest to populate:
      - select it with checkbox
      - ensure only relevant fields are enabled to avoid unnecessary data noise.

          Field selection best practices:

    • Prioritize key identification fields: (e.g. for Accounts: Account Name, Phone, Website, Address)
    • Avoid enabling sensitive fields (e.g., security fields, internal-only notes) unless required.
    • Review required fields in Salesforce and ensure the Harvest has enough enabled fields to create valid records.
    • Make sure you enabled only necessary for parsing fields.

    Enabling too many fields and objects may affect the accuracy of results. We suggest enabling up to 7 objects with up to 10 fields for each.

          3. Enabling object for parsing
    After description has been provided and all necessary fields added, make sure to enable that with toggle on the object card on the left. If you leave the object in inactive state, the emails will not parse data to it.

    Removing an Object from Parsing
    If you no longer want an object to be used by the Harvest:

    1. From the Objects tab, open Object Setup for that object.
    2. Use Remove button to delete all configuration for the object or set the object to Inactive to retain the description and fields chosen in case you'll need that for future.
    3. Confirm removal.
