Decide Which Fields Are Searchable

In the schema, there can be many fields not relevant to users or fields admins don’t want users to search against.

Ascendix Search Admins can optionally configure which fields are available to be used as search criteria and as result columns, by selecting a subset of fields on an object-by-object basis.

This action can simplify search experience for your users and speed up list building.

By default, all Salesforce fields are available to be used as search criteria and as result columns.

Here is how to configure this:

  1. Open Ascendix Search Setup (click the gear icon  on the right top corner of Ascendix Search).
  2. Select Object Manager Tab
  3. Select the Object you want to configure and click the icon to configure fields
  4. Check the Apply a filter (unchecked by default)
  5. Select fields that should be searchable and viewable in your search results
  6. Save

If you want to make all fields available for search again, simply uncheck the Apply a filter. Ascendix Search will remember your previous choices so it will be a matter of one click to come back to your settings later on.

When checked, the list displays a list of all available fields with the following columns:

  • NAME – Displays the field label with the field schema name shown as a tool-tip
  • SEARCHABLE – Checkbox indicating if the field can be used in search criteria
  • VIEWABLE – Checkbox indicating if the field can be used as a result column

Configure Default Columns for Objects

Ascendix Search Admin can define default column results for each object to display relevant information.

Here is how to configure columns:

Step 1. Click on the gear icon in the top right next to the pop-out window icon to open Ascendix Search Setup.

Step 2. From here click on the Object Manager

Step 3. Select the column icon to set the default columns

Step 4. Now you can quickly select what kind of information you want to be displayed for the object. Use arrows to add, remove or reorder columns. Note that Ascendix Search lets you add columns from related objects. E.g., you can add Account industry and Employee number to your contact list. It might help you to customize your message or prioritize contacts.

Users can customize columns as well, but they will be able to do it not for an Object, but for their lists.

Step 1. Click Select Columns button from the bottom right of your search results

Step 2. Use arrows to add, remove or reorder columns and click OK when you are done.

Note, that you should save the search to keep the order of the columns. Also, you will need to customize columns for each saved search.

Step 1. From the Ascendix Search AppExchange listing make sure you are signed into Salesforce. If you are not already signed in select the Log In from the top right of the page.

Step 2. Once you are signed in, select the green Get It Now button.

Step 3. Choose the environment you want to install Ascendix Search into.

Step 4. Confirm Installation Details, agree to the Salesforce terms and conditions, and click the Confirm and Install button. You’ll be forwarded to the Salesforce login page and will need to re-enter your credentials to proceed.

Step 5. You are almost done! Now, decide if you want to grant access to Admins only, install for all users or for specific profiles. You can configure it later.

You may receive a message indicating the package is taking a long time to install, just click Done.

An email confirmation from support@salesforce.com indicating the install is complete will be sent to the admin’s email.
